Meeting notes from recording: review decisions, owners, and deadlines

Meeting notes from recording are useful when the call ended with several decisions and you need a clear record of what happens next. The recording supplies the source, transcription turns its speech into text, and the notes step produces a structured draft. Your final review should concentrate on commitments: what was actually agreed, who accepted each task, and whether a deadline was stated or merely suggested.

Prepare meeting notes from recording after the call

Save the recording from Zoom, Google Meet, Microsoft Teams, or your phone as an actual audio or video file on your device. Recording availability and export controls depend on the source platform and your access. Confirm that you can play the file locally before opening the AI meeting note taker.

The tool works on uploaded recordings. It never joins, records, or monitors a live call. Obtain participant knowledge and permission in line with your organization's procedures before recording and processing the file. A calendar invitation or a meeting-sharing URL is not a substitute for the local recording needed here.

Check the source version. A recording that starts after a decision was made cannot establish that decision's full context. If several files cover the call, label their sequence and keep the originals. Note any missing interval so the reviewed notes do not appear to be a complete account of material you do not have.

Upload and understand the two processing stages

Choose the recording in the meeting notes workspace. The browser extracts audio, prepares speech segments, and shows a credit estimate before processing. Sign in with sufficient paid credits, then start. Transcription happens first; a language model subsequently uses the transcript to draft the notes.

The result contains an overview, decisions, action items with an owner and due date when stated, and key points with timestamps. A full transcript supports verification. Speaker names are not identified automatically, so you need to confirm identities before putting names into a circulated record.

Audio and transcript content are processed by AI providers. The site does not store source content beyond processing, while results remain in account job history. Consider whether that arrangement fits the recording before uploading. If you only need spoken text without a notes stage, the video to text converter is another route for a local video recording.

Estimate transcription and notes credits separately

Meeting transcription costs 2 credits per minute of speech, rounded up. Long recordings are processed in parts of about 13 minutes, with each part rounded up to the next minute. The tool supports recordings with up to three hours of speech. Use the displayed estimate rather than multiplying the meeting's scheduled length and assuming that is exact.

The notes step costs 1 credit per 2,000 transcript characters, rounded up, with a minimum of 1 credit. Suppose the transcription stage uses 50 credits and the resulting transcript contains 18,100 characters. Dividing by 2,000 gives 9.05, which rounds to 10 notes credits. The total for that example is 60 credits.

The speech and transcript lengths in this example are separate inputs, not a prediction of how much text any meeting produces. Check pricing and the actual estimate before starting. Failed meeting processing steps have automatic credit refunds; keep the job identifier and error information if the record needs investigation. Our credit estimation guide explains rounding in more detail.

Verify decisions before circulating the draft

Read every drafted decision against the transcript and replay the relevant passage. A suggestion, a preferred option, and an approved decision are different things. Check whether an agreement depended on a condition such as a budget approval or a later test. Preserve that condition in the finished notes.

For example, “we can move the launch if testing finishes” does not establish that the launch has moved. Likewise, silence after a proposal does not necessarily establish approval. If the recording is unclear, mark the decision as unresolved and ask the participants through your normal workflow. Do not turn uncertainty into a firm outcome for the sake of a tidy document.

Review numbers, dates, names, and negatives in the underlying transcript. An error there can carry into the notes. Use the timestamped key points to navigate, but listen to enough surrounding speech to understand the exchange rather than judging a point from its summary alone.

Check action items and export the reviewed record

For each action item, ask whether the task was actually accepted, whether the owner is verified, and whether the due date was stated. “Someone should check the figures” is not an assignment to the person whose name happens to appear nearby. Leave an owner or deadline unresolved when the source does not provide one.

Convert relative dates carefully in your own edited notes. If someone says “next Thursday,” use the meeting date and confirmation from the participants before writing an absolute deadline. Separate your clarification from the original transcript. Confirm meaningful commitments with their owners before treating the notes as a shared work plan.

Download TXT or Markdown and edit in your own document tool. Keep the transcript with the reviewed notes so another reader can trace an uncertain point. If you only need a transcript from a video, the video transcription workflow offers TXT, SRT, VTT, and HTML instead of structured meeting notes.

Use a filename with the meeting date and subject, and identify whether the document is a draft or reviewed record. Our minutes, notes, and transcripts comparison can help when the audience expects a more formal document. Before sharing, check that private side remarks and irrelevant personal details are handled according to your team's rules.

Frequently asked questions

Does the meeting note taker join my call?

No. It processes audio or video recordings you upload after the meeting. Save the actual file from your meeting app or phone before starting.

Are owners and deadlines always included?

Action items include owners and due dates when stated in the source. Review assignments and confirm them with the people involved rather than treating missing details as automatically resolved.

How long can a recording be?

The meeting workflow supports up to three hours of speech. Long speech is processed in parts of about 13 minutes, and each part is rounded up for transcription billing.

What can I export?

Download meeting notes as TXT or Markdown together with the transcript for verification. Edit the exported document in your own editor before distributing the reviewed record.
